Job Description

  • To manage the day-to-day operational support and system management of the various accounts.
  • This is to ensure all client feedback and reporting are met as well as systems and operational support to all internal and external clients are met.

Duties and responsibilities 

  • Evaluate and financially capture all invoices
  • Ensure that all service providers are managed and driven via the Broll procurement and vetting process.
  • Conduct follow-ups daily on open work instructions via email and phone call, and feedback must be loaded onto Concept on the required action.
  • provide weekly reports to all operations staff, and contractors/ service providers on outstanding invoices to be loaded on Vantage.
  • Ensure that all invoices are processed on the system and submitted to the client every month before the set cut-off date.
  • Obtain service sheets where still under guarantee
  • Obtain quotes and compare from service providers
  • Inform Technical managers to inspect all major replacements / compressor replacements
  • Filling supporting documents on all repairs done on major replacement / compressors during guarantee period.
  • Support the team in obtaining quotes and supporting information as and when required.
  • Support the operations team with all admin requirements
  • Follow up with the client on open work and liaise with clients on their request

Minimum requirements

  • Grade12
  • Must have computer skills, know IT management systems, reporting, and meeting procedures.
  • At least 1 – 2 years of similar administrative experience
  • Experience in the FM maintenance environment preferred
